The company that I'm interning for is looking for an experienced office manager. It is a well-funded early-stage company based in RTP that deals in micro-fluidics.

• Coordinate execution of agreements by ALL; communicate with other companies to obtain signatures; ensure that a fully executed original of each agreement is received by ALL/sent to other company; upload executed documents to InfoStrength; ensure that original executed agreements are properly filed; maintain agreement tracking spreadsheets • Organize documents received from outside attorney firms; obtain proper execution and notarization as needed; scan, upload to InfoStrength, and return completed documents • Organize ideas received from ALL employees and enter them into InfoStrength; maintain idea entry tracking spreadsheet
• Process invoices and expense reimbursement requests for payment, preparing and maintaining necessary documentation, including invoice and other data entry into accounting system.
• Research, price and purchase materials and supplies. • Establish accounts with authorized vendors • Maintain purchase orders in accordance with the companies purchasing policy • Receive packages and oversee the delivery to the proper recipient • Coordinating, ordering and picking up employee lunches • Weekly timesheet collection, checking, and data entry • Perform general clerical duties to include but not limited to: filing, photocopying, faxing, mailing, and data entry. • Maintains appointment schedules and calendars etc. • Makes travel arrangements as requested. • Coordinates meeting logistics (including large, offsite meetings); assists with agenda preparation; gathers information; prepares materials; contacts meeting participants. • Coordinates internal meetings and events, including company lunch • Provides administrative supports to others, including visitors, as needed.
QUALIFICATIONS/CHARACTERISTICS: Our first impression to the outside world via phone or front door – must be a positive and enthusiastic person. This position also requires a candidate that promotes teamwork and demonstrates strong leadership skills and professionalism. Must maintain complete confidentiality, work and produce results under pressure, and demonstrate attention to detail. Must be willing to support everyone’s efforts and be able to manage competing demands. Must be dependable, organized, and able to work with minimal supervision.
EDUCATION AND EXPERIENCE REQUIRED: • Excellent written and verbal communication skills • Strong working knowledge of Microsoft Office 2003 (Word, Excel, Outlook) • Certified Notary Public preferred" |
